Initial IADiscuss your project

Accounting firms

AI for accounting firms.
Prepare the file for review.

Before reviewing a client file, you need to gather records, check where they belong and request what is missing. Initial IA can help prepare this work: proposed filing, visible exceptions and document requests for your team to approve.

For accountants, engagement managers and staff responsible for collecting records.

Uses to explore

From collecting records
to preparing the review.

Invoices, bank statements and supporting records arrive through different channels. Start with the collection rules for one type of client file. The system proposes a classification and flags uncertainty; your team decides what enters the accounting workflow.

01

Prepare incoming records

The situation

Supporting records arrive through several channels and need to be assigned to the right client file.

What AI prepares

Extract available identifiers and propose a client file and document category. Keep originals accessible and flag incomplete scans, possible duplicates and ambiguous assignments.

What you approve

Staff verify the assignment and resolve exceptions before any production entry.

02

Draft requests for missing documents

The situation

A team member rebuilds the missing-document list before each request.

What AI prepares

Compare the inventory received with the agreed checklist for the period. Prepare a request that names the missing records and keeps uncertain items separate.

What you approve

The team checks recent arrivals and reviews the recipient and message before sending.

03

Find internal procedures

The situation

A procedure exists, but its latest version is difficult to find when processing the file.

What AI prepares

Retrieve the approved collection or review instructions available to the team member, with their source and version. Flag conflicting or outdated guidance.

What you approve

The engagement manager confirms which instruction applies to the file.

Illustrative scenario

A collection ready to check.

Illustrative example: a team member checks one month of supporting records against the client’s collection checklist.

Fictional exampleThe documents and answer were created to illustrate how the process works.

Available excerpts

  1. 1

    Collection checklist

    Example Workshop · March

Expected records: purchase invoices for the month and the March bank statement.
  2. 2

    Received-document inventory

    Example Workshop · records received

Two purchase invoices are present. No bank statement is recorded for March.
  3. 3

    Invoice FAC-104

    Received scan · header

Readable date: 12 March. The customer name is illegible.
Prepared answerFor review

What is missing from Example Workshop’s March file?

Document to request
The March bank statement appears on the checklist but not in the received-document inventory.[1][2]
Assignment to check
Invoice FAC-104 does not allow the customer to be confirmed. It remains pending verification.[3]
Your team stays in control

Check recent arrivals, confirm which client the invoice belongs to and review the bank statement request before sending it.

  1. 01

    Select the period and checklist

  2. 02

    Compare received and expected records

  3. 03

    List exceptions and draft requests

  4. 04

    Review before filing or sending

Preparing a file does not approve accounting entries or tax treatment. Uncertain assignments require a person to resolve them.

A first pilot

Use a period already processed.

Choose a completed collection period to compare the proposed preparation with the work already done. Include poor scans, duplicates and documents that cannot be assigned confidently.

What to measure on your files
  • Preparation time including corrections
  • Incorrect document assignments
  • Missing records correctly identified

What to prepare

  1. 01

An authorised sample and the checklist for its period.

  2. 02

The client identifiers and filing rules used by the team.

  3. 03

An agreed process for reviewing exceptions before production.

Estimate costs and review time
At the end of the first project

A tool to try.
Evidence to decide.

A preparation workflow tested on a completed period: proposed filing, an exception list and draft requests. The assessment includes correction time and assignment errors before any write access to production software.

The criterion for moving forward

Compare total preparation and correction time with the usual collection process. An uncertain assignment must stay visible and must not enter production on its own.

Practical questions

Before
you start.

01Can the pilot use our current accounting software?

It can start from an authorised export. A connection to the software requires checking available interfaces, formats and access rights; it is not assumed.

02How are uncertain records handled?

They remain in a review queue with the original document and the reason for uncertainty. The pilot should include difficult examples to test that they are not silently accepted.

03Will document requests be sent automatically?

The proposed first scope prepares drafts for approval. Check recent arrivals, the recipient and the content before sending. Any later automation needs its own rules and testing.

Which part of collection
holds up the review?

Describe how records arrive, how they are assigned and what staff need to check. We can define a first test on an authorised sample without connecting it to production.
