Initial IADiscuss your project

Local authorities

AI for local authorities.
Useful information for staff.

Front-desk questions, letters to route and service information to retrieve. Initial IA helps staff find approved guidance and prepare responses with references, while keeping decisions and unusual requests with the responsible service.

For front-desk staff, service managers and teams organising internal information.

Uses to explore

Service information and requests.
Help staff find the next step.

Begin with a limited set of approved service sheets and internal procedures. Each source needs an owner and an update process. The assistant can retrieve information and propose routing; staff check the answer and take over when the request falls outside scope.

01

Find approved service information

The situation

A staff member needs the current service sheet while answering a front-desk enquiry.

What AI prepares

Retrieve the relevant sheet or procedure with its owner, version and source. Identify missing information rather than completing an answer from assumptions.

What you approve

Staff confirm that the information is current and applies to the request.

02

Prepare incoming correspondence for routing

The situation

A letter arrives without a clear destination and needs initial classification.

What AI prepares

Identify the subject, propose the service to contact and list missing details. Keep uncertain or out-of-scope requests visible for manual handling.

What you approve

A staff member confirms the destination and any priority before forwarding.

03

Draft practical responses

The situation

The same practical information is repeatedly copied from scattered service sheets.

What AI prepares

Prepare an answer from approved service information, with references and unresolved questions. Keep an administrative decision separate from general information.

What you approve

The responsible service validates the wording and any decision or commitment.

Illustrative scenario

Useful routing, with the details still needed.

Illustrative example: an association asks for a meeting room without providing a date or expected attendance.

Fictional exampleThe documents and answer were created to illustrate how the process works.

    Incoming request

Example message to the front desk

Our association would like to book a room for a meeting. We have not yet provided a date or the number of participants.
  2. 2

    Approved service sheet

    Room bookings · routing guidance

The Community and Associations service receives room requests. The requested date and number of participants are needed to examine them.
Prepared answerFor review

Which service should receive this association’s room request?

Proposed service
The supplied sheet directs room requests to the Community and Associations service.[2]
Details to request
The message does not contain the date or number of participants required by the service sheet.[1][2]
Your team stays in control

Confirm that the sheet is current, request the missing details and forward to the service. This routing does not establish room availability or approval.

  1. 01

    Read the request

  2. 02

    Retrieve the approved service sheet

  3. 03

Identify missing details and propose routing

  4. 04

    Have staff check and forward

Routing a request does not establish eligibility, availability or approval. The responsible service examines and decides the case.

A first pilot

Start with one service’s internal guidance.

Select approved sheets and questions staff already handle. Include outdated information, incomplete requests and questions outside the scope to check when a person needs to take over.

What to measure on your files
  • Correct and current sources retrieved
  • Out-of-scope requests correctly escalated
  • Time to a checked answer

What to prepare

  1. 01

Approved sheets with owners and update responsibilities.

  2. 02

Typical staff questions and validated reference answers.

  3. 03

Access rules and a clear route for unanswered requests.

At the end of the first project

A tool to try.
Evidence to decide.

An internal assistant limited to selected sheets, a set of staff questions and a record of answers to correct. The service can test withdrawing outdated information and handing out-of-scope requests back to a person.

The criterion for moving forward

Check that staff retrieve the current sheet and that incomplete or out-of-scope requests reach the responsible service.

Practical questions

Before
you start.

01Does the first pilot need personal case data?

An internal information pilot can start with approved service sheets and fictional questions. If personal case data is needed later, its scope, access and handling must be assessed separately.

02Who keeps the answers up to date?

Assign an owner to each source and define how changes and withdrawals reach the assistant. Test the removal of an outdated sheet, not just the addition of a new one.

03Can the public use the assistant directly?

An internal staff pilot allows the team to assess answers and handovers first. A public service is a separate scope with its own accessibility, escalation and operational requirements.

Which information do staff
keep searching for?

Start with a service, its approved information and a few recurring questions. We can identify a first internal scope and the people who will validate it.
